How many people can the Urban Field House accommodate?

 

240 / 200 comfortably without moving tables for a dance floor 

300 for a CEREMONY ONLY

 

How many hours does the rental fee include, and is there an overtime fee if I stay longer?

 

The venue is yours for the day.  7:00 am arrival / 1:00 am departure 

 

How much is the deposit, when is it due, and is it refundable?

 

The Initial payment is $2500.  It is non-refundable.  

 

What's the payment plan for the entire bill? What forms of payment do you accept?

 

Payment can happen at any time.  Your invoice will reflect all payments. However, the final payment is not due until 30 days before the wedding.  At that time, the venue coordinator sits down with you and finalizes guest count, meal options and so on… UFH accepts cheques, cash, bank drafts and e-transfers.  Credit Cards have an additional 5% charge. 

 

Can I have my ceremony here, too? Is there an additional cost?

 

You can have your ceremony on the grounds or inside the venue.  There is no additional cost, it is complimentary with the venue.  

 

Are there changing areas for the bride, groom, and/or wedding party?

 

The UFH has 2 rooms, a Bridal Suite & a Groom’s Loft. 

 

How much time is allocated for the rehearsal?

 

Each Wedding will receive a complimentary hour to rehearse on the property.  We ask that your officiant be there or your coordinator.  If you need the venue to assist there is an additional charge.  The complimentary hour is always on Thursdays at 5:00 pm, 6:00 pm or 7:00 pm.  

 

Can we have our rehearsal dinner here?  

 

Absolutely! We can provide dinner.  This usually happens on Thursdays at 7:00 pm so the wedding party is not interrupted by other rehearsals happening that night and they can stay as long as they like.  

 

What's the cancellation policy?

 

We know life happens.  In the event the client is forced to CHANGE THE DATE of the Event, every effort will be made by UFH to transfer reservations to support a new date. Events must be changed before 6 months of the original date.  Initial payment will be transferred only one time to accommodate any changes that are required due to unforeseen circumstances and cannot go beyond 18 months of original date. 

 

In the event of a CANCELLATION of the Event, all payments made to date are non-refundable and all outstanding payments will be due immediately if cancelled within the month of the Event date. 

 

What's your weather contingency (backup) plan for outdoor spaces?

 

We bring it inside.  The venue has a stage that elevates the ceremony so guests can see the event clearly.  We will work with the couple to create a back-up plan that works for everyone. 

 

Do you have liability insurance?

 

Yes we do. 

 

Do you have an in-house caterer? Can you use an outside caterer? 

 

We have a full facility for onsite catering.  UFH has an Executive Chef, Sous Chef, Assistant Cooks &  Pastry Chefs.  We have a full menu you can see online.  WE NO LONGER ACCEPT OUTSIDE CATERERS.

 

What's the tax and service charge?

 

We charge 13% HST and 18% Gratuities. 

 

Can we do a food tasting before we finalize our menu selection? Does it cost extra?

 

Each couple will receive a complimentary tasting.  If they want additional guests to attend, there will be an additional charge per person.  

 

Will you accommodate dietary restrictions and/or food allergies?

 

Absolutely! Each dietary restriction will be taken seriously and will be plated.

Do you provide desserts? 

 

UFH does and we have an extensive menu.  We include decor, platters, signage, napkins, real plates, set-up & cleanup.  

 

Can I bring in a cake from an outside baker?

 

UFH allows outside desserts including cake.  You are responsible for napkins, plates, platters, decor & take out containers for bringing home.  No fridge space will be given to outside desserts.  We cannot mix our food with outside vendors. 

 

Is there a cake-cutting fee? 

 

An additional fee is added for outside cake cutting.  We will provide plates, napkins and servers will serve the cake to guests. 

 

If I use a cake made on site is the fee waived?

 

Yes it is waived because it is built into the pricing.

 

Can we bring our own wine, beer or champagne? What about hard liquor?

 

You can bring in your own alcohol.  However, you will need to provide a liquor license and insurance for $2 million dollar liability.  NO BEER BOTTLES only cans please.  

 

Is there a corkage or stocking fee?

 

Only if you bring in your own alcohol.  There will be a corkage and stocking fee. It is waived if we are providing the alcohol and spirits.

 

Can we bring in our own wine for favours? 

 

No Problem at all. 

 

Are you licensed to provide alcohol service?

 

We are fully licensed.  

 

Are we allowed to bring in our own decorations?

 

Yes you are. We also have an in-house Decor Team “Jolie Productions” 

 

Do you have Holiday Decor? 

 

Yes, the Lobby is beautifully decorated during Christmas time.  

Do you allow Candles? 

We allow only IF they are in water floating. 

 

Can I move things around or do I have to leave everything as is?

 

You can but must receive written consent to do so by the venue coordinator.  We prefer you allow us to set the venue how you would like.  

 

Do you offer on-site coordination? What services are included?

 

Yes. We do.  You will also receive a concierge on the morning of your wedding! 

 

Can the venue accommodate a DJ or live band?

 

We allow outside vendors.  We also have an in-house DJ “Urban Kris Productions”

 

What security services do you offer?

 

We have several staff members that are equipped to handle situations.  They also walk the grounds to ensure safety. 

 

Do you provide a coat check service?

 

In the lobby we have a wardrobe you can utilize at your own discretion.  

 

What time can my vendors start setting up on the day of the wedding?

 

We are very flexible. We are happy to work with schedules.  Usually people arrive between 7:00 - 9:00 am on the day of the wedding for decor. 

 

Does the venue provide assistance getting gifts and/or décor back to a designated car or hotel room after the wedding?

 

On the morning of the wedding there is a concierge that is available to help you load in and out if needed. Anything that is excessively heavy will need assistance from an outside party. 

 

Is there a separate space for cocktail hour?

 

Yes there is.  It is weather permitting, as it is outside.  

 

Do you have a sound system and/or microphones for speeches?

 

Our in-house DJ has the rentals and will set up accordingly.  UKP will help figure out where a band can set up and where other vendors can hook up their equipment. 

 

Is there parking on site and if so, is it complimentary?

 

Yes it is complimentary, we have a large parking lot that can accommodate all your guests needs.  

 

Are cabs/rideshares (like Uber, Lyft, etc.) easily accessible from the venue?

 

Yes they are.  There is a sign at the bars for guest accessibility. 

 

What are the nearest hotels to the venue?

 

The Holiday Inn in St Clair Beach is only 8 minutes up the road.  UFH has partnered up with them, they will provide a discount if you let them know where you are celebrating the event.  We also have a honeymoon suite on the property. 

 

Is the site accessible for people with disabilities?

 

Absolutely! The entire property is on one level and has easy accessibility for any difficulties.
